What data we process
Depending on how you interact with us, we may process:
Contact and enquiry data: name, email, phone number and the content of any message you send us through the contact form or by email/WhatsApp.
Booking and stay data: personal details and contact information, dates of stay, number of guests, identity document details and information required for payment.
Browsing and cookie data: IP address, browser type, pages visited and data collected through cookies and similar technologies (see the Cookie Policy).
Why we process your data and on what legal basis
To respond to enquiries sent through the form or by email — legal basis: responding to your request / pre-contractual measures (Art. 6(1)(b) GDPR).
To manage your booking and stay (quotes, confirmations, check-in/check-out, assistance) — legal basis: performance of a contract (Art. 6(1)(b)).
To comply with legal obligations: reporting guest data to the Public Security Authority through the “Alloggiati Web” portal (Art. 109 of the Italian Consolidated Law on Public Security, TULPS), management of the City of Naples tourist tax, ISTAT statistical reporting, and tax and invoicing obligations — legal basis: legal obligation (Art. 6(1)(c)).
To ensure the security of common areas through video surveillance (if active: the property states that 24-hour video surveillance is in place in common areas) — legal basis: legitimate interest in the safety of people and property (Art. 6(1)(f)). Areas under video surveillance are marked with appropriate signage, and footage is retained for a limited period.
To send any promotional communications / newsletters (only if you activate this feature) — legal basis: consent (Art. 6(1)(a)), which can be withdrawn at any time.
Who we share your data with
Your data may be processed on our behalf, with appropriate safeguards, by parties carrying out activities necessary to provide the service, including: the property management and booking engine provider (Kross Booking), the website hosting provider, our accountant, and any payment providers. Data is also shared with the competent Authorities (Police Headquarters, the Municipality, ISTAT) where required by law. We do not sell or transfer your data to third parties for undisclosed purposes.
Transfer of data outside the European Union
Some technology providers (e.g. analytics or email services) may process data in non-EU countries. In such cases, the transfer takes place only where the appropriate safeguards required by the GDPR are in place (adequacy decisions or Standard Contractual Clauses). (To be confirmed based on the services actually used, e.g. Google Analytics.)
How long we keep your data
Contact enquiry data: for as long as necessary to handle the request and for the subsequent period useful for any follow-up.
Booking and tax data: for the period required by legal obligations (generally 10 years for accounting records).
Data reported for public security obligations: in accordance with the timeframes set out by law.
Video surveillance footage: for a maximum of [24–72 hours / the period you set], unless otherwise requested by the Authorities.
Your rights
At any time, you may exercise the rights set out in Articles 15–22 of the GDPR: access to your data, rectification, erasure, restriction of and objection to processing, data portability and, where processing is based on consent, withdrawal of that consent without affecting the lawfulness of processing carried out beforehand.
